Freight (Delegations sending the sports equipment before their arrivals)

In order to avoid trouble and delay through customs in the transfer of all the equipment and other relevant materials, the Organizing Committee has developed a protocol through partnership with the SCHENKER ARKAS Logistics Company. If the delegations would like to transfer the materials by other companies, they can show Istanbul Schenker Company as the receiver and the company stipulated to handle the Customs procedures in Turkey and transfer of the materials without any problems. The Organizing Committee or any other name cannot be given by the delegations as the receiver. If so, the Organizing Committee or Schenker Company shall not be held responsible.

Transfer of equipment will be carried out as follows:

• First, Schenker Company will provide written and oral logistic information to the participating companies directed to them by the Organizing Committee about the forwarding of the materials.

• The company will produce an overseas forwarding manual before the relevant event and all the details will be given in the manual. Details will include which documents are required at Customs; how the documents should be arranged; the deadline for the documents and materials to be in Turkey and in the activity area; and technical information such as destination customs, ports, terminals and venues.

• The company will request details of forwarding from the participants in written form and with regard to these details, an offer will be arranged particular to each participant regarding the services of local forwarding customs and distribution within the Service Costs Tariff of SCHENKER, no UN08072010, dated 08.07.2010. In brief, the content of the order will include logistics services about entry and exit procedures by describing the weight, volume, value, characteristics of packaging, forwarding method, type of clearance, etc., of the materials to be forwarded from abroad to the activity.

• The company will request the participants’ instruction for confirmation and acceptance of the order as well as the tariff in written form.

• In accordance with the written directives and the services demanded, the company will provide for the participants both in Turkey and abroad, the services of storage, clearance, shipping of the materials by ground, maritime and air freighting, distribution of the materials in the activity area, stand delivery, supplying the necessary equipment and forklift, storage of empty packing cases before, during and after the activity; and return delivery after the activity.

• The company shall be responsible for providing the required number of staff and paraphernalia for the handling (shipment and unloading) in the activity area in order to avoid any inconveniences for the participants.
